Hear an AI receptionist answer a dental practice’s phone

Below is a full call between a patient and Tilcao’s AI receptionist, with nothing cut. The patient wants a check-up next week. Tilcao offers three free slots, recognises her as an existing patient, books the check-up into the diary and answers a question about Friday hours. The call was recorded on Tilcao’s demo practice and the patient is an AI voice.

Moments in the call

What happens in this call?

The patient asks for a check-up on any weekday morning next week. Tilcao reads what is actually free and offers three slots on Monday morning. It asks whether she is a new or an existing patient, finds her by name and date of birth, reads the booking back and books it. It ends with the practical bit, the ID card for the electronic attestation, and answers a question about Friday hours from the opening times the practice fills in itself.

  • Says at the start that it is the practice’s voice assistant and that the call is recorded. What the rules ask for: telling patients about AI.
  • Offers three real times instead of asking the patient to guess.
  • Recognises an existing patient by name and date of birth.
  • Reads the booking back before it books, then confirms it.

How was this call recorded?

The call went through Tilcao’s demo practice, the same one you can call yourself. Tilcao answers there as it would at a real practice, with the demo practice’s diary. The patient and the dentist are made up, and the patient is played by an AI voice from a standard library, so there is no real patient data in the recording.

Nothing in the call is cut. What an AI dental receptionist does beyond this one call is on the page about it.

Can I try a call myself?

Yes. Call the demo practice on +32 460 23 23 00 or send it a WhatsApp message, in English, Dutch or French. Book an appointment as a new patient or ask a question about the practice. It is a demo, so please do not use it for a real dental problem.

The Dutch and French versions of this page each show a different recorded call, in their own language.

The full call, written out

Tilcao: Dental practice, hello, Sofie speaking. I’m the practice’s voice assistant and this call is recorded. You can ask for a colleague at any time. How can I help you?

Patient: Hi, I’d like to book a check-up, please. Any weekday morning next week would be fine.

Tilcao: Okay. Let me check what we have for you next week in the mornings. We have Monday twelve October at 09:30, Monday twelve October at 09:45, or Monday twelve October at 10:15. Which of those suits you?

Patient: Monday the twelfth of October at nine thirty is fine.

Tilcao: Right. Are you a patient with us already, or is this your first visit?

Patient: I’m already a patient, yes.

Tilcao: Alright. What’s your family name and date of birth, please?

Patient: Emma Smith. The twenty-first of June, nineteen ninety-two.

Tilcao: Thank you. Let me check that for you. Good, I have you here. So Monday twelve October at 09:30 with Dr. Bram Vermeulen, is that right?

Patient: Yes, that’s right.

Tilcao: Lovely. I’ll book that for you now. Your check-up is booked for Monday twelve October at 09:30 with Dr. Bram Vermeulen. Please bring your ID card so we can send your attestation to your health fund electronically. Is there anything else?

Patient: What time do you close on Fridays?

Tilcao: Alright. We close at 16:00 on Fridays. Is there anything else I can help you with?

Patient: Thanks for the info. Goodbye.

Questions practices ask

Is the patient in the video a real person?

No. The patient is an AI voice playing a made-up patient, so no real patient data is in the recording. The voice that answers is Tilcao, as it answers at a practice.

Was the call edited?

No. The call is not cut and the voices are not altered. The captions follow the call’s timestamps; a few misheard words in them were corrected.

Does Tilcao always say it is an AI?

The call opens by saying you are speaking to a voice assistant and that the call is recorded, as in this recording. The EU AI Act puts that duty on the provider of the AI.

Does this work with my practice’s software?

The demo practice uses a test diary. At a practice, Tilcao works in the practice’s own diary. Which software we connect to, and how, is on our page about dental software in Belgium.

Tilcao is the operating system for dental practices in Belgium: its AI receptionist answers patient calls and WhatsApp messages in Dutch, French and English, and books, moves and cancels appointments in the practice’s own software.
